JOB DESCRIPTION

ROLE: Purchase Ledger Clerk
REPORTS TO: Head of Finance
LOCATION: Warrington

Job Purpose

To maintain all aspects of the purchase ledger including invoice matching and processing, resolving invoice queries, reconciling supplier statements and preparing supplier payment runs.

Job Responsibilities

The role involves responsibility for the following key tasks:

  • Matching stock invoices to goods received notes for cost and quantity
  • Coding and posting of all types of invoices accurately onto the purchase ledger
  • Logging of non-stock invoices when they are received and ensuring appropriate authorisation
  • Preparation, processing and allocation of weekly payment runs which include dealing with prompt payment discounts
  • Liaising with colleagues and suppliers to ensure that invoice queries are resolved on a timely basis.
  • Maintenance of supplier’s master data, including obtaining authorisation for changes to this (bank details/addresses etc)
  • Reconciliation of supplier statements, and resolution of any differences
  • Review of ledger balance ageing
  • Assisting with month end and year end procedures
  • Assisting with the annual budgetary process
  • Providing cover for other ad hoc tasks within the Accounts department

Key Skills

  • Good attention to detail
  • Excellent mathematical skills
  • Good communication skills for dealing with both internal and external contacts
  • Accurate data entry
  • Ability to process a high volume of invoices and deal with associated queries
  • Good understanding of prompt payments discounts, rebates and VAT requirements
  • Organised, with the ability to deal with multiple priorities
  • An effective team worker, but has the ability to work on their own
  • Good working knowledge of Microsoft Excel

Experience

  • Previous experience of working with Microsoft Dynamics NAV is essential
  • At least 2 years’ experience in a similar role
  • Use of banking applications
  • Experience of working in a retail business would be beneficial
